Description

The Finance and Administration Lead will be a strategic thought partner and will lead and develop an internal team to support the following areas: finance, business planning and budgeting, and administration.

The Finance and Administration Lead will play a critical role in partnering with the senior leadership team in strategic decision-making and operations. The Finance and Administration Lead shall be responsible for overseeing the administrative and financial functions toward driving best practices within the organization to maximize efficiency and growth.

Roles and Responsibilities

Financial Management

  • Establish/implement an investment policy for Xenopia Group
  • Identification and Management of risks exposure to the organization’s investments and offer advisory /recommendations on actions to be taken.
  • Oversee and lead annual budgeting and planning process in conjunction with the Executive Director; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team abreast of the organization’s financial status.
  • Implement a robust contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • Establish and implement Finance, Accounting, and Procurement Policies and Procedures of the organization.
  • Prepare and manage cash flows and develop a reliable cash flow projection process and reporting mechanism that includes a minimum cash threshold to meet operating needs.
  • Analyze and present financial reports in an accurate and timely manner; communicate monthly and annual financial statements.
  • Coordinate and lead the annual audit process, and liaise with external auditors.

Administration

  • Develop and implement office administrative and personnel systems.
  • Work closely and transparently with all external partners including third-party vendors and consultants.
  • Oversee administrative functions as well as facilities to ensure efficient and consistent operations as the organization scales.
  • Responsible for all matters related to the operations and administration of the organization.
  • Ensure registration requirements are kept current at all times and file statutory returns and renewals.
  • Manage all company infrastructure and oversee its procurement process

Qualifications:

  • Bachelor’s Degree in Accounting, Finance, or a related field. (Postgraduate finance or Business qualification would be an advantage)
  • CPA or ACCA and have a valid membership with ICPAK professional body.
  • Knowledge of local and international accounting practices and procedures such as IFRS.
  • At least 5 years of overall professional experience in a reputable organization
  • The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting, and audit coordination.
  • Technology savvy with experience in the deployment and use of Enterprise Resource Planning (ERP) Tools
  • A successful track record in setting priorities; keen analytic, organization, and problem solving skills that support and enable sound decision-making
  • Excellent communication and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
  • A multi-tasker with the ability to wear many hats in a fast-paced environment
  • Personal qualities of integrity, credibility, and dedication to the mission of the organization.
  • Strong leadership & managerial skills.
  • Strong sense of judgment.
  • Timeliness, good time management.
